To download resumes for a smaller applicant set, apply your filters in LinkedIn Hiring before starting the export, then verify the resulting list. Treat that export as a dated batch. Keep it separate from earlier downloads so a reviewer can tell which applications were included and which files still need attention.
This guide is for employers using Waslio Resume Downloader on Hiring or Hiring Pro. It covers the boundary between selecting a list and handing over its CV files. The extension downloads accessible attachments; it does not decide who belongs on a shortlist.
Define what this batch is for
Write down the job reference, the reason for the export and the filters currently applied. Use the filter controls available in your LinkedIn account; labels and available choices can vary. Do not assume a particular shortlist stage exists in every account.
A useful batch note might say: “HIR-042, exported 16 October, current filtered list for first review.” This is an illustrative naming example, not a product-generated field. Keep screening decisions and their supporting notes in your established hiring system rather than encoding them in filenames.
If your team needs all applications, clear unintended filters first. If it needs only a selected group, inspect that group before exporting. A successful download from the wrong list is still the wrong handoff.
Check the list before starting
- Open the correct job’s Applicants page in Hiring or Hiring Pro.
- Apply the filters for the batch and let the list finish loading.
- Check a few visible records against the group you intended to export.
- Open an attachment manually to confirm your signed-in account can access it.
- Record the job, filter context and export date in your batch note.
Use the account and applicant pages you are authorized to access. This workflow does not apply to general profile searches, Recruiter or Recruiter Lite. The full installation and download guide covers the normal export controls.
Keep the export boundary stable
Start the export from the checked list. Choose individual PDFs or ZIP and keep the applicant tab open. Avoid changing jobs or filters while the export runs: even if the interface permits it, it makes the batch harder to reconcile afterwards.
If you need a second group, finish and verify the first batch before beginning another. Keep a separate dated folder and index for each. Do not use a saved export’s resume control as a substitute for starting a different selection; the saved progress belongs to an earlier export context.
When continuing an interrupted run, return to the same job and inspect the available progress before resuming. If the page asks you to sign in or becomes unavailable, restore normal access first. Follow the download troubleshooting checklist when the export cannot continue.
Reconcile applications, files and exceptions
Inspect index.csv alongside the downloaded documents. The index records names, filenames and file status. A missing attachment is not the same as a failed download, and neither is a hiring decision.
For an illustrative batch of 12 intended applications, suppose the export records 12 rows but saves 10 files. Check the two exception statuses and their source applications. Do not tell the reviewer there are only 10 applicants, and do not infer that the two others were excluded from the shortlist.
- Confirm the batch belongs to the intended job and selection.
- Open a sample of saved documents and match them to index rows.
- Record unavailable attachments and technical failures separately.
- Check whether a repeated export produced another copy of an existing file.
- Keep the original index before adding reviewer assignments to a working copy.
Names alone are not stable application identifiers. If two records share a name, use the application context available in your hiring system before combining records or removing a file.
Make the handoff describe its limits
Give the reviewer the batch note, file location, working index and unresolved exceptions. State when the list was captured: new applications or later stage changes will not automatically update a downloaded folder. Assign someone to decide when another export is needed.
For folder structure and version handling, see how to organize downloaded applicant resumes. If the next destination is an ATS, check its import requirements separately; a local file index is not an automatic applicant synchronization.
Ready to export the list you have checked? See Resume Downloader’s supported pages and current plans. Product behavior is based on Waslio’s documented export workflow, checked 16 October 2026. The batch-control steps above are our recommended operating practice.
